Privacy Policy

What the lodge collects, what it is used for, and what is never shared.

1. Who we are

This policy covers Danbury Lodge No. 120 of the Benevolent and Protective Order of Elks, Incorporated (“the lodge”, “we”), 36 Sugar Hollow Rd, Danbury, CT 06810. It applies to this website (danburyelks.org), the member portal, and the text messages and phone calls the lodge sends and receives.

2. Information we collect

a. Information you give us

  • Your name, email address, phone number and mailing address
  • What you write to us on the Contact and Rent Our Hall forms, including event dates and guest numbers
  • Ticket orders, donations and dues payments, and any names or answers an event asks for
  • Text messages you send to the lodge, and your texting choices (opted in or opted out)

b. Membership records

  • For members: your member number, membership status and dues history, kept from the lodge’s roster with the Grand Lodge

c. Payments

  • Card payments are handled by our payment processor. The lodge never sees or stores your full card number.

d. Technical information

  • When you send a form: your IP address and browser type, kept with the form so we can prove when and where consent was given

e. Calls and texts

  • Phone numbers, message content, and the time of each call or message
  • If a call is recorded or answered by an automated assistant, the recording and a transcript. You will be told at the start of the call.

3. How we use it

  • To answer your questions and hall rental inquiries
  • To sell event tickets, take donations and collect dues, and to send receipts
  • To keep the membership roster accurate
  • To send lodge news and event, meeting and dues reminders to people who asked for them
  • To meet our legal and record-keeping obligations

4. Text messages (SMS)

The lodge only texts people who have opted in. You can opt in by:

  • Ticking the unticked texting box on our Contact or Rent Our Hall form (texts about your inquiry only)
  • Signing up on our Lodge Texts page (lodge news, event and meeting reminders, and dues reminders for members)
  • Members: ticking the texting box under your mobile number in the member portal
  • Texting JOIN to the lodge at (475) 256-5388

Opting in is always optional. It is not a condition of membership, of renting the hall, or of buying anything.

5. Sharing of information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

We do not sell personal information of any kind.

To run the lodge’s website and records, other information is processed on our behalf by the services we use to host the website, store our records, process card payments and send email, and is disclosed to legal authorities only when the law requires it. All of the above categories exclude text messaging originator opt-in data and consent, which are never shared with any third party.

As a lodge of the Benevolent and Protective Order of Elks, we report members’ membership and dues status to the Grand Lodge, as every lodge must. This never includes texting consent.

6. How long we keep it

We keep information for as long as it is needed for the purposes above. Membership and payment records are kept as long as the law and the Grand Lodge require. Records of texting consent and opt-out are kept so we can show that we only texted people who asked.

7. Security

We use reasonable safeguards, including access controls on our records, but no system is completely secure.

8. Your choices

  • Members can correct their own contact details, and turn texts on or off, in the member portal
  • Anyone can reply STOP to stop texts, or use the unsubscribe link in our emails
  • You can ask to see, correct or delete the information we hold about you by writing to secretary@danburyelks.org

9. Children

This website is not directed to children under 13, and we do not knowingly collect their information.

10. Changes

We may update this policy. The date at the top shows when it last changed.
